Im writing now to confirm the arrangements you and Italked about several weeks ago and ask that you draw up a contract.We are interested in confirming the 8:15pm excursion on Friday, October 25, 1991.We anticipate about 75 people and would like to reserve the entire RJC-007 car,plus approximately 10-15 places on the Eisenhower car. We prefer to leave choiceof seating, wherever possible, to the conference delegates.We understand that the signed contract and a twenty-five percent deposit are duesixty (60) days prior to the excursion date, no later than August 26, 1991; thata second twenty-five percent deposit is due thirty (30) days prior to theexcursion date, no later than September 26, 1991; that a guaranteed number ofpassengers, balance of payment and entree selection are due ten days prior to theexcursion date, no later than October 15, 1991; that after that date, additionalplaces may be reserved on an as~available basis only; and that cancellationsreceived within thirty days of the excursion date, October 25, 1991, are subjectto forfeiture.Pat, with regard to the final deadline for payment and confirmation of numbers:Would it be possible to move that deadline back two days, to October 17, to giveourselves some leeway after the conference registration,closes on October 15?We would like to ask conference delegates to make their own selection from amongthe three entrees (prime rib, game hen and baked seafood) when they pre-registerfor the conference. Delegates will be provided with color-coded meal ticketsindicating choice of entree in order to facilitate meal service.We have decided not to use a spoken narrative, but we would like to have a banjoplayer stroll up and down the aisle during the last 45 minutes of the excursion.Carlene Offutt has offered to make arrangements with a local musician. You haveindicated that it will be possible for the banjo player to move freely from onecar to the other while he is playing.
