Im writing now to confirm the arrangements you and I<lb />talked about several weeks ago and ask that you draw up a contract.<lb /><lb />We are interested in confirming the 8:15pm excursion on Friday, October 25, 1991.<lb />We anticipate about 75 people and would like to reserve the entire RJC-007 car,<lb />plus approximately 10-15 places on the Eisenhower car. We prefer to leave choice<lb />of seating, wherever possible, to the conference delegates.<lb /><lb />We understand that the signed contract and a twenty-five percent deposit are due<lb />sixty (60) days prior to the excursion date, no later than August 26, 1991; that<lb />a second twenty-five percent deposit is due thirty (30) days prior to the<lb />excursion date, no later than September 26, 1991; that a guaranteed number of<lb />passengers, balance of payment and entree selection are due ten days prior to the<lb />excursion date, no later than October 15, 1991; that after that date, additional<lb />places may be reserved on an as~available basis only; and that cancellations<lb />received within thirty days of the excursion date, October 25, 1991, are subject<lb />to forfeiture.<lb /><lb />Pat, with regard to the final deadline for payment and confirmation of numbers:<lb />Would it be possible to move that deadline back two days, to October 17, to give<lb />ourselves some leeway after the conference registration,closes on October 15?<lb /><lb />We would like to ask conference delegates to make their own selection from among<lb />the three entrees (prime rib, game hen and baked seafood) when they pre-register<lb />for the conference. Delegates will be provided with color-coded meal tickets<lb />indicating choice of entree in order to facilitate meal service.<lb /><lb />We have decided not to use a spoken narrative, but we would like to have a banjo<lb />player stroll up and down the aisle during the last 45 minutes of the excursion.<lb />Carlene Offutt has offered to make arrangements with a local musician. You have<lb />indicated that it will be possible for the banjo player to move freely from one<lb /><lb />car to the other while he is playing.<lb /><lb /></p>

        <p>1991 GROUP RESERVATION INFORMATION<lb /><lb />My Old Kentucky Dinner Train offers special pricing for<lb />twenty-four or more people. The Dinner Train has available<lb />one hundred people on two dining cars. The Eisenhower car<lb />people and the RJC-007 car seats sixty.<lb /><lb />Excursions depart from the train station at 602 North Third<lb />Bardstown, Kentucky at 11:00 a.m., 2:00 p.m., 5:15 p.m. and<lb />The train station waiting room is open one hour fore each<lb />and groups are requested to arrive no less than thirty minutes pr 10<lb />departure time. Each dining excursion lasts approximately two h<lb />and is a thirty-five mile round-trip.<lb /><lb />$39.95<lb />Pricing of $44. per person includes four-course meal, excursion<lb />tax and gratuity.<lb /><lb />Entree selections of Choice Prime Rib, Cornish Game Hen or Seafood are<lb />accompanied by soup du jour, Kentucky Bibb lettuce salad, steamed<lb />vegetables, fresh bread, beverage and Kern's Kitchen Derby Pie.<lb /><lb />Reservations are required for all excursions and a confirmation<lb />contract containing all pertinent information will be forwarded to<lb /><lb />The signed contract and a twenty-five per cent deposit are due si<lb />(60) days prior to excursion date.         <p>- from this, its clear that the Signed contract is not<lb />due*to be completed until Aug. 26 . . . which is fine, except<lb /><lb />I am concerned that we immediately reserve the space...<lb />absoluetly lock it in*�?T�?TNOW ...-. not to kbkkk wait until<lb /><lb />Aug. 26 -- if we wait until Aug. 26, do we run the risk of<lb />some other group getting in ther with a signed contract before<lb />us, and we lose the reservation?<lb /><lb />Will Pat guarantee reservations for 75 people NOW, without a<lb />signed contract and 25% deposit? if so, fine . .. ask her to<lb />put that in writing. If not, will we have to move quickly to<lb />send in (25% deposit and signed contract?<lb /><lb />if the deadline to pre-register is Oct. 15 (conference pre-regista<lb />that is), and the dealine to tell the train how many of which<lb />entree we want and to guarantee the number of passengers we'll<lb />have . . . methinks that does not leave us much of a "grace<lb />period." That is, a day or two at the least allowed for those<lb />whom we know will register just a bit late . .. slow mail<lb />delivery, got lost in the shuffle, couldn't process check, all<lb />those excuses. Can we keep the conf. pre-registration deadline<lb />at Oct. 15 and move train deadline to Oct. 17, by which time<lb /><lb />we will call them with the info.? otherwise, there is no leeway<lb />time and I smell trouble.<lb /><lb /></p>
