Because we are a state institution, we have a<lb />little more bureaucracy to deal with than many groups. Our financial affairs<lb />people tell us that you and I need to agree in writing on the specifics which<lb /><lb />Jim and I talked about several months ago. I have taken the liberty to write<lb /><lb />these out in agreement form with spaces for us to sign. Parker, Director<lb /><lb />Agreement for Services and Goods Relating to the<lb />1990 Outdoor Drama Conference, October 5-7, 1990,<lb />to be held in The Holiday Inn, Cherokee, NC<lb /><lb />September 4, 1990<lb /><lb />The Holiday Inn-Cherokee agrees to provide the following<lb />services and goods at the specified rates for the 28th Annual<lb />Managers, Directors and Promoters Conference sponsored by the<lb />Institute of Outdoor Drama, University of North Carolina,<lb />Chapel Hill, NC:<lb /><lb />1. To make available 50 double rooms per night on Friday,<lb />Saturday and Sunday, October 5, 6 and 7, 1990 at the rate of<lb />$65.00 per room for registered participants of the Outdoor<lb />Drama Conference. Rooms will be guaranteed available for<lb />conference participants who pre-register with the hotel no<lb />later than Tuesday, September 25, 1990, and provide the hotel<lb />with one night�?os deposit. The Holiday Inn will make every<lb />effort to accommodate conference participants who request<lb />reservations after that date. However, no guarantee can be<lb />made for those individuals requesting reservations after<lb />September 25, 1990.<lb /><lb />These rooms will not be guaranteed by the Institute, but will<lb />be reserved by individuals attending the conference who<lb />provide deposits to the hotel.<lb /><lb />2. To make available to the Institute one (1) complimentary<lb />double room each night the conference participants rent as<lb />many as 20 sleeping rooms from the hotel.<lb /><lb />3. To make available to the Institute two (2) complimentary<lb />double rooms each night the conference participants rent as<lb />many as 50 sleeping rooms from the hotel.<lb /><lb />4. For those meetings and social functions on the attached<lb />Conference Schedule designated to take place at the Holiday<lb />Inn, to provide suitable and adequate space in the hotel at<lb />the times indicated on the schedule; and that there will be<lb />no charge for the set-up and use of those facilities.<lb /><lb /></p>

For those meal functions listed on the attached<lb />Conference Schedule designated to take place at the Holiday<lb />Inn, to provide suitable and adequate space in the hotel at<lb />the times indicated on the schedule; and that there will be<lb />no charge for the set-up and use of those facilities.<lb /><lb />6. To provide a complete seafood buffet for conference<lb />participants from 7:00-8:00pm, Friday, October 5, in the<lb />Holiday Inn. The price per person is set at $15.00,<lb />including tax and tip, and will be paid for by the Institute.<lb />The Institute will provide the Holiday Inn with an<lb />anticipated head-count for the buffet no later than Monday,<lb />October 1, 1990. Conference participants will be provided<lb />with meal tickets to assist in arriving at a head-count at<lb />the meal.<lb /><lb />7. To provide a complete Indian Feast for conference<lb />participants from 6:30-8:30pm, Saturday, October 6, 1990, in<lb />the Holiday Inn. The price per person is set at $14.50,<lb />including tax and tip, and will be paid for by the Institute.<lb />The Institute will provide the Holiday Inn with an<lb />anticipated head-count for the buffet no later than Monday,<lb />October 1, 1990. Conference participants will be provided<lb />with meal tickets to assist in arriving at a head-count at<lb />the meal.<lb /><lb />8. To provide coffee and doughnuts for conference<lb />participants from 8:30-9:00an, Saturday, October 6, and<lb />Sunday, October 7, in the Holiday Inn. The price per person<lb />is $2.00 complete and will be paid for by the Institute. The<lb />Institute will provide the Holiday Inn with an anticipated<lb />head-count for these two coffee breaks no later than Monday,<lb />October 1, 1990.<lb /><lb />9. To provide an assortment of soft drinks for conference<lb />participants between 3:00 and 3:15pm, Saturday, October 6,<lb />1990 in the Holiday Inn. The price per person is set at<lb />$2.00 complete and will be paid for by the Institute. The<lb />Institute will provide the Holiday Inn with an anticipated<lb />head-count for this refreshment break no later than Monday,<lb />October 1, 1990.<lb /><lb />10. To provide a complete hot lunch for conference<lb />participants from 12 noon until 1:00pm, Saturday, October 6,<lb />1990 in the company dining hall of the Mountainside Theatre,<lb />in Cherokee, NC. The price per person is set at $6.00<lb />complete, including tax and tip, and will be paid for by the<lb />Institute. The Institute will provide the Holiday Inn with<lb />an anticipated head-count for the luncheon no later than<lb />Monday, October 1, 1990. Conference participants will be<lb />provided with meal tickets to assist in arriving at a head-<lb />count at the meal.<lb /><lb /></p>

        <p>11. To provide conference participants with sleeping rooms<lb />in the building closest to the main building of the Holiday<lb />Inn complex.<lb /><lb />12. It is agreed the only persons authorized to obligate the<lb />Institute of Outdoor Drama or the University of North<lb />Carolina to any expense are the following:<lb /><lb />Scott J. Parker, Director, Institute of Outdoor Drama<lb />Judy Via, Administrative Secretary, Institute of<lb />Outdoor Drama<lb /><lb />While the Institute will have special guests at the<lb />conference, none will be asked or allowed to bill any service<lb />or goods to the Institute.
