My Old Kentucky Dinner Train

Dear Pat:

We are delighted to be able to offer delegates to the 1991 National Outdoor Drama
Conference, October 24-27, an excursion on My Old Kentucky Dinner Train during
their stay in Bardstown. Im writing now to confirm the arrangements you and I
talked about several weeks ago and ask that you draw up a contract.

We are interested in confirming the 8:15pm excursion on Friday, October 25, 1991.
We anticipate about 75 people and would like to reserve the entire RJC-007 car,
plus approximately 10-15 places on the Eisenhower car. We prefer to leave choice
of seating, wherever possible, to the conference delegates.

We understand that the signed contract and a twenty-five percent deposit are due
sixty (60) days prior to the excursion date, no later than August 26, 1991; that
a second twenty-five percent deposit is due thirty (30) days prior to the
excursion date, no later than September 26, 1991; that a guaranteed number of
passengers, balance of payment and entree selection are due ten days prior to the
excursion date, no later than October 15, 1991; that after that date, additional
places may be reserved on an as~available basis only; and that cancellations
received within thirty days of the excursion date, October 25, 1991, are subject
to forfeiture.

Pat, with regard to the final deadline for payment and confirmation of numbers:
Would it be possible to move that deadline back two days, to October 17, to give
ourselves some leeway after the conference registration, closes on October 15?

We would like to ask conference delegates to make their own selection from among
the three entrees (prime rib, game hen and baked seafood) when they pre-register
for the conference. Delegates will be provided with color-coded meal tickets
indicating choice of entree in order to facilitate meal service.

We have decided not to use a spoken narrative, but we would like to have a banjo
player stroll up and down the aisle during the last 45 minutes of the excursion.
Carlene Offutt has offered to make arrangements with a local musician. You have
indicated that it will be possible for the banjo player to move freely from one

car to the other while he is playing.

We look forward to receiving the contract from you soon. Please call me if there
are any additional details we need to discuss. Were really excited about
including My Old Kentucky Dinner Train on the program this year. Both Scott and
I expect the excursion to be a conference highlight.

Thanks for your help, Pat.

Sincerely,

Judy Via
Administrative Secretary

- from this, its clear that the Signed contract is not
due*to be completed until Aug. 26 . . . which is fine, except

I am concerned that we immediately reserve the space...
absoluetly lock it in*?T?TNOW ...-. not to kbkkk wait until

Aug. 26 -- if we wait until Aug. 26, do we run the risk of
some other group getting in ther with a signed contract before
us, and we lose the reservation?

Will Pat guarantee reservations for 75 people NOW, without a
signed contract and 25% deposit? if so, fine . .. ask her to
put that in writing. If not, will we have to move quickly to
send in (25% deposit and signed contract?

if the deadline to pre-register is Oct. 15 (conference pre-regista
that is), and the dealine to tell the train how many of which
entree we want and to guarantee the number of passengers we'll
have . . . methinks that does not leave us much of a "grace
period." That is, a day or two at the least allowed for those
whom we know will register just a bit late . .. slow mail
delivery, got lost in the shuffle, couldn't process check, all
those excuses. Can we keep the conf. pre-registration deadline
at Oct. 15 and move train deadline to Oct. 17, by which time

we will call them with the info.? otherwise, there is no leeway
time and I smell trouble.

?o what is the result of your conversation with the dinner

train people? you had a lot of questions to pose to them -

also, we don't have any black and white photos of the

train which we BkEdkdkkd definitely need for the nl

and the brochure - brochure due to go to printer in about

a week - please ask dinner train people to help us out with
that - ask them to send 3-5 black and white photos to give
us a selection from which to chose -

thanks
